2. Which Personal Data Do We Process?

  • Identification and contact details: name, address, e-mail address, telephone number, language;
  • Company and billing details: company name, VAT number, bank account number, payment history;
  • Transport and file data: details of shippers, consignees, drivers and contact persons necessary for the performance of transport, agency and customs formalities (e.g. name, identification data, signature);
  • Communication data: correspondence by e-mail, telephone or via our website;
  • Website data: IP address, browser type and browsing behaviour via cookies (see our cookie policy).

4. With Whom Do We Share Your Data?

We share your data only to the extent necessary with: shipping lines and carriers for whom we act as agent, subcontractors and carriers, terminals and port operators, customs and government authorities, insurers, IT service providers, accountants and legal advisers. We conclude data processing agreements with processors. We never sell your data to third parties.

5. Transfers Outside the EEA

In the context of international transport of goods, data may be transferred to recipients outside the European Economic Area (e.g. carriers, agents or customs authorities in the country of destination). Where required, this takes place on the basis of appropriate safeguards such as the European Commission's standard contractual clauses, or on the basis of necessity for the performance of the contract.

6. How Long Do We Keep Your Data?

We do not keep personal data longer than necessary: accounting and tax documents for the statutory periods (as a rule 10 years), transport files for the applicable limitation periods, and prospect data for a maximum of 3 years after the last contact.

7. Your Rights

You have the right of access, rectification, erasure, restriction of processing, data portability and the right to object to processing (including direct marketing). Where processing is based on consent, you may withdraw it at any time. You can exercise your rights via info@ims-shipping.com. We may request proof of identity.

You also have the right to lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be.

8. Security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access.

We may amend this privacy policy. The most recent version is always available on our website. Significant changes will be communicated where appropriate.


In the event of any discrepancy between the Dutch and English versions, the Dutch version shall prevail.
